CURRENT JOB Title:              Client Care & Administrative Specialist


Serve as principal point of contact for Harmony clients/families and staff.
Greet and assist clients in-person at Harmony.
Handle phone calls and emails with clients and businesses.
Update and maintain accurate client and class/group records in Harmony registration software/database.
Help clients process class & massage registrations, payments, cancellations, transfers, credits, and refunds, as appropriate.
Provide information and assistance to clients in choosing classes and schedules to best fit their needs.
Ensure current Harmony families are informed of offerings that might interest/support their needs.
Create and maintain Welcome Packets for new students/clients.
Develop and implement system to facilitate Harmony instructors in keeping students informed.
Handle sales of gift certificates and some retail items on-site.
Improve upon and manage aspects of current admin and program systems.
Document and update staff and administrative procedures manual and FAQ documentation.
Work with Owner to maintain center functional integrity (maintaining a safe, comfortable, and positive center environment).
Work with other staff and Instructors in utilizing social media to connect Harmony families.
Assist in maintaining and updating business paperwork (insurance, staff contracts, evaluations).
Assist Owner with:
Development of the center’s curriculum/service programs and calendar of events.
Ensuring registrants and instructors get timely reminders of their classes.
Ensuring instructors find, secure, and confirm quality subs as needed that are approved byHarmony, and that subs are properly oriented to Harmony procedures, have entry, etc.
Advance schedule any holiday class/service changes or cancellations & confirm with instructors, post on web, and ensure clients are informed.
Manage operations in Owner’s absence.
Of primary importance, the ideal candidate will be warm, caring, and have the ability to be compassionate, supportive, and accepting of Harmony clients and other staff.

Highly dependable and consistent in schedule, task commitments, and meeting deadlines.
Exceptional organization and follow-through skills with attention to detail and quality.
Self-directed, with strong time-management and prioritization skills.
Ability to represent Harmony in a professional manner.
Excellent verbal and written skills.
High level of comfort working in a small business environment – the ability to adapt quickly and problem-solve independently, as well as to reach out to others for solutions, as needed.
Excellent interpersonal skills and patience – ability to work with a variety of personalities.
A passion for helping others, nurturing sensibility, and a want to be understanding.
A strong interest in pregnancy, birth, and early parenting – related professional training or experience in this field a plus.
High degree of comfort and skill with computers – experience with Mac is ideal.Working in a growing small business like Harmony utilizes many sets of skills, involves structure and flexibility, and offers an immense sense of reward in the knowledge of what we provide for families. 25-30 hours per weekCompensation commensurate with experience and qualifications.Located in Campbell, California.
